Balancing Work Order Visibility and Individual Accountability

How can we make a work order visible to the entire team while still assigning it to an individual? The goal is to keep everyone informed about the status and updates without requiring them to search for the WO, while ensuring that one person remains accountable for the work. This approach also allows for a smooth handover if someone, for example, is on sick leave.

Hi Su-Mari, we actually do the same thing. Although at times my electricians claim they cannot see WOs assigned to their teams but are able to see in their MX App if assigned to them. I just was not sure if that is untrue or not. 

Hi Siyanda, Nick’s response is 100% correct.
But what I have found is that my technicians sometimes have put a filter on that they have since forgotten about. Or in the To Do list section of the app, they are not aware that they have to swipe right to see what is assigned to their teams instead of just looking at what is assigned to them specifically. And then they can easily miss out on WO’s they need to be paying attention to.
We have regular feedback sessions where we all sit together and they can share any questions they have so that we can address it. And I use those sessions to highlight things like this. 
You can always create a test work order just assigned to the team and then look for it on one of their cellphones in the app to give yourself some peace of mind.

If you go to “Settings” then “Manage Teammates”. You can set the “Full User Visibility” setting to “Full Visibility” and they should be able to see all the work orders. If there is someone that does not need this, you can set it to  “Limited Visibility”.

We assign work orders both to the individual responsible and the team that needs to have visibility. When an individual is looking at their to do list they can then see what is assigned to them specifically, as well as what is assigned to their team (separately).

If the Work Order is assigned to a team that the user is on, they will have visibility of that Work Order. If the Work Order is only assigned to the individual, visibility of that Work Order will be limited based on user permissions
