I have noticed that work orders with a status of Done meaning work has been completed can still be edited. Has anyone found a way to lock work orders that have been completed and reviewed to ensure there are no outstanding actions against that job? Our maintenance & engineering director wants to have a supervisory review for work orders and once complete the job will be done-done meaning closed out. Any ideas?

To edit a user's work order permissions:

  1. Go to Teams / Users in the sidebar.

  2. Select the Users tab and find the user you want to edit.

  3. Click Edit Role/Permissions.


John, by default, full users have the ability to edit work orders after they have been marked as “Done”.

However, with custom permissions (Enterprise plan), you can customize their access to features. There’s a custom permission that prevents them from editing/changing the status of a work order after it has been marked as “Done.”


@sergiodiniz It would be nice if there was a status after “Done” such as “Closed”, meaning it had been reviewed, and no other costs are expected to be associated with the work order. This could also enable supervisors the ability to know which work orders they have not reviewed. This ability would be very helpful especially for those just implementing a CMMS, completed jobs can be reviewed to ensure techs are not only filling in required data properly but are adding notes and comments where applicable. Just my 2 cents worth.

Forgive me, i dont mean to sound rude. But it is utterly insane that i cant do that on a premium plan. We spend thousands of dollars a year here, and i cant lock a work order after its done unless we upgrade? Who makes these decisions? Im starting to notice alot of this. Not good, MX.
