Hi,

Before using certain pieces of equipment our operators are required to complete an inspection of the equipment and log it.

Is there a way I could create the inspection as a procedure in MaintainX that can be activated by the operator as they need it? If I can do this in MaintainX it would make the standard operating procedure easy to access and create a record to show the procedure is being complete.

The operators have requester level licenses

Thanks,

Ben

Hi Ben,

The only way I have found requesters can interact with Work Orders is to put them down as a vendor and share an external link to the job specifically, this will send them an email and allow them to interact with the work order according to the restriction that you can apply.

This issue with that as far as I know is that this would need to be done manually for every job which I know isn’t what you are looking for as you want it to be automated.

Hope this helps.

Hi Lilburne,

Many of my clients and myself have been where you are.

Unfortunately I would say you are looking to have some requesters with customized permissions in MaintainX and that's something you would need to discuss about with your account manager. It usually means you would need to pay an extra amount per each customized requester account.

I have other solutions that achieve what you are looking for in MaintainX. If you are interested, please reach out and I will be happy to help.

Cheers,

@Lilburne I see this was posted 3 months ago and I’m curious if you found a good solution? We are about to have the same situation and I’m exploring options to be able to capture these daily operator checklists in MaintainX.

Thank you,

John

@JCathey I haven’t got as far as I’d like with this little side project as my attention got diverted. The main trouble with it is requester level users are really only good for putting in work requests but higher level profiles, even the custom ones with just a couple of extra features added make it too costly to give everyone a paid license.

One work around which may be frowned upon is having a shared profile for operators just for doing daily checks. Adding a compulsory field to the daily checks procedure that requires the operator to add their name lets you track who did the check.

As for the daily checks themselves you can create a workorder template with the procedure for the checklist attached. You can then assign the workorder template to the asset that is being checked, this lets you create a workorder for each check by scanning the asset’s QR code. The operators can then scan the QR code quickly create themselves a workorder for the checklist and you will have a record of the daily checks in the completed workorders tab.

I hope this helps let me know if you want me to go into more detail. I’m still working on this in the background to try and improve the process

Thanks,

Ben

Actually the assets are assigned to the work order template not the other way around. You assign them in the details section when setting up the template
