Favoriting Work Orders

Is there a way to favourite or bookmark work orders in MaintainX?

I carry out daily safety checks using a procedure I’ve built in MaintainX. For audit purposes, I want an easier way to find completed work orders where more detailed notes were recorded, without having to scroll back through days, weeks, or even months of history. These are typically the days where additional text was added to support handovers to the next shift or to document issues, repairs, and ongoing monitoring in case the same problem occurs again.

Being able to quickly identify and revisit these more detailed work orders would be very useful for audit evidence and traceability. Is there a recommended way to achieve this within MaintainX?

@Talisker I’d recommend adding a custom field to your work orders to achieve this.

For example, you could add a ‘Detailed Notes?’ custom field that holds a Yes/No value.

  • Navigate to Settings > Features > Work Orders > Set Preferences > Custom Fields

Here’s an example of what this field would look like on the work order.

You can then filter your work orders by the value of this field, to quickly pull up the work orders where more detailed notes were recorded.

This is an overly simple example, but work order custom fields should allow you to get as flexible/specific as you need here.

Hope this helps!

Hi Zach,

Thank you for your reply.

Just to make sure I fully understand how this works: when I write a detailed note on a work order, (it’s not everyday) do I need to edit that work order and select Yes/No at the time of completing the procedure steps?

If I go back into a completed work order, edit it, select Yes, and apply that change to the recurring work order for that instance only, then filter using the method you described — will that work as intended?

I just want to be certain I’m applying this correctly so the data can be reliably filtered later.

Thanks for your help.

@Talisker yes, you’ve got it right!

In my opinion, it’s not ideal that you have to edit the work order to do this. I like your suggestion for a favorite/bookmark feature. I’d encourage you to submit a feature request to your account manager or a member of our support team for future consideration.
