Updating Equipment Status upon workorder completion

Hey, Im new to MX and was trying to create a procedure that, upon completion of the work order, would give me the prompt option to set the asset in Offline or Online. Currently you can only receive a prompt to “put the equipment online” if the asset, on the work order, is offline. Thank you in advance for your response.

Hi ​@mbreen87, happy to help here if I can. You’re right that if an asset attached to a work order has a status of offline, you will be prompted to change the status to online when you mark the work order as done.

Are you asking about a workflow that would support the reverse scenario - i.e. if the asset has a status of online, you are prompted to change the status to offline when you mark the work order as done? I’m picturing something like completing an inspection, the results of which suggest that the asset should be taken offline.

Currently, the only automated prompt that you get on work order close is to change an offline asset back to online. The only workaround for the reverse scenario that I could think to suggest would be to add a step to the procedure reminding the technician to change the status of the asset before closing the work order (this could be a simple checkbox field). It’s not an automated prompt, but could still do the job of providing that reminder.

Zach Brown, Thank you so much for your response. I currently work in a massive facility where we inspect multiple assets. Our job is only to inspect and report on the assets not repair. To streamline the process i wanted to create a system where upon completing the procedure, the work order would prompt “Is this unit online or offline.” I like your idea to create a requirement “reminding the technician to change the status of the asset before closing the work order.” Although this seems cumbersome to me.

This is an area that will be a big problem for me. In production the tool may need to go over to Process Engineering for recipe changes, or over to Production for qualification. It cannot simply go to Online or available. It might need to be put in a wait state for parts. Please link me to how I can manage equipment state changes, if there is any additional guidance.

@mbreen87 I was going to suggest the same thing ​@Zach Brown above did. You could have the final step of the procedure prompt the person completing the task to change the asset status as required, you could even provide examples of when to change from “ON” to “OFF”.

I actually have set a meter now that the techs have to input the “Hz.” I then run a daily report to check what units are ON, OFF, or in STANDBY. Its very tedious compared to the equipment health screen available under reporting but it achieves my goal.

@SL10 I’m not sure if this would address your specific needs, but you can create custom online/offline reasons for assets in MaintainX. It does still have to be binary (Online or Offline), but you could create a specific online/offline reason (e.g. ‘Offline: Process Change’, ‘Online: Qualification’). These custom reasons can even be applied to the Do Not Track status, for periods where you don’t want the time spent to count toward uptime or downtime metrics.

The last industry I worked in was Semiconductor manufacturing. They use a system called Semi E10. Xsite CMMS is heavily steeped in this. Semi E10 spec for RAM Take a peek for fun.
