I think it would be fantastic if the “one off” items from purchase orders were automatically added to the parts inventory with the ordered quantity and default 0/0 Min Max.This would allow them to easily be used/Charged to a work order without having to create the part in the system for a non stock item. I but thing often that are not stock items, and find it annoying to take the extra separate steps to create the part in the system for it to be used in a work order.I know the costs can be added as “other Costs’’ but not all users have access to purchase orders and costs.
Is it possible to add a picture or a copy and pasted table from a word document to a procedure? For example adding the risk table to a risk assessment pre start procedure - Thanks
Hi, The only trigger selection that appears for me when I click on “New automation” is the “When: Meter Reading” field.Is this normally the case or is there a way to change the trigger to anything I choose?The first automation I’d like to create is to have an email sent when there are parts attached to a new work order created. I cannot find in the reports section if you can run reports with the comments on the report and export it to PDF. If it is not there can it be added? I have to send daily reports and would like to have the comments on them. Maybe add it so it can be turn on and off under the column section of the export? Currently I have to use excel and copy my comments over and then send it that way.
Hello, Does anyone know a way to manage reoccurring work orders to pause or not populate through certain calendar periods like holidays. When creating the work order as reoccurring it gives me options for start date as well as frequency of weeks and days from the completion of the work order. I am looking for a finish date of a reoccurring work order as this would allow me to leave my calendar empty when the factory is not operating. Thank you. Brent.
I set up the request portal and it is all working fine EXCEPT the asset field. It gives everyone, including myself this error,”Failed to fetch assets.” I have assets and even did sub assets to no avail.I searched the help area and here but came up short.
I have a maintenance business and I want to give my customers the ability to submit Requests for their assets. I can easily give them requestor access to be able to scan their asset QR codes to submit requests. Is there a way to give my customers requestor access without them seeing other requestor names and being able to message other requestors?
I have been testing this software out but have noticed that when a new request is made there is no place to add the team for it to go to.I want all requests to be auto approved, default to only one team (Maintenance team), and send them an email that a new WO/request has come in. Is this possible?

Hi, I am wondering if there is a way to record more than one reading against a meter without having to create multiple versions of the same meter. An example is our energy bill for reticulated natural gas. I want to record current meter reading as well as kWh associated with that reading. Do I need to create a second meter rather than just have two different unit readings per meter? The same would apply for electricity where there are up to three or four fields on our utilities bill we would like to track.
Am I just missing something when it comes to parts needing to be reordered due to being at or below minimum? I have several parts that fall in this category, but no one knew so they haven’t been ordered. I see that a notification will be sent for critical parts/spares at or below minimum but nothing for non-critical. I hope someone is doing this and can help me get our system set to do it. ThanksJohn
I am working on moving our calendar-based PM system to a usage-based system from machine runtime. I would like to have a way to schedule the PM Work Orders so that due dates cannot fall on weekends. The only “Condition” available to me in the Automation Work Order creation menu is “Between certain hours”, which is not particularly helpful in this case.Is there a streamlined way to accomplish what I am looking for? To my knowledge, the API doesn’t have a specific field for whether or not a work order is overdue, so we need to create a new value in order to expand on the existing reports.This is the base formula I’m using: OverdueState = // Work order is considered overdue if [Completed On] > [Due Date] IF( 'WorkOrders'[Completed on] > 'WorkOrders'[Due Date] , TRUE , FALSE )I’ve tried filtering by various combinations of work order creation, close, & updated timestamps and Status=CANCELED/SKIPPED. The numbers are always close to what shows up on MaintainX reporting, but are always slightly off. Has anyone had any luck recreating the overdue logic that MaintainX reporting uses?
Does anyone know if there’s a way to have an email notification when a critical production asset goes offline? Our production manager, who is only a requester, really needs to know whenever production is impacted by equipment failure. The maintenance team gets notification of the request and subsequent work order, but they are all at least full users. I’m hoping this is something we have available to us without having to request MaintainX do in the background. I would think others have this need as well.

Hi, Could someone please help me with how to add the estimated time column to the work order table view - I am trying to plan work and find it hard as i cant easily see the time it is estimated that a job would take. I have looked at the gear box in the table view and there is no option that i can see to add estimated time. ThanksKB

In the event someone forgets to put an asset back online is there a means to go back later and adjust the asset downtime? I have looked at the work order and the asset and just don’t see a way to do this. My downtime report is inaccurate, and I need to figure out how to correct it.
I want to be able to add multiple assets (in this case several sash windows need maintainance and will be done as a single job by a single contractor) to one work order. Is this possible? It seems like you have to create a work order for each single asset which is clunky.
Do we have the ability to list parts required to perform a PM in the procedure? If not there can I put them in the work order and it will then populate all future recurring work orders?
I have noticed that work orders with a status of Done meaning work has been completed can still be edited. Has anyone found a way to lock work orders that have been completed and reviewed to ensure there are no outstanding actions against that job? Our maintenance & engineering director wants to have a supervisory review for work orders and once complete the job will be done-done meaning closed out. Any ideas? As always thank you all,John
I have multiple assets that need to have run time captured which will drive maintenance. My question is do I need a run time meter for each asset or do I create 1 run time meter and assign it to each asset? In a previous CMMS I used it only required me to create a single instance of the meter so I’m curious how MaintainX handles this instance. Thank you all.John
Our storeroom is a sublocation of another and I have tried to set up sub locations for my shelving and next would be bins. I can’t even add the shelving into my storeroom, how are other people creating storeroom locations to easily locate parts? Getting frustrated with this one.Thanks all,John
In the request module selecting a location has no effect on which assets are available to be selected. With it being first in the order of completion you might expect that selecting a location would limit available assets to only those in that location. This would make it easier for requesters to find the asset requiring attention. If this isn’t possible you may consider showing the asset field first since location is automatically filled from the asset selection.
