PM compliance calculation

We utilize the 10% rule for PM completion, this means as long as the PM is completed within 10% of the frequency it’s still on time. MaintainX only counts on time as being completed by the due date and I can’t find a way to add a window either in the calculation or a scheduled start and finish date on the WO. If I could add that it should show on time if the job was completed any time during that window. Any suggestions? Reagrds, John

Asset Hierarchy - Air Conditioning Units in Tenant Suties

I realize there is no right or wrong answer to this, but I’m curious how people are setting up asset hierarchy on something like an air conditioning unit in a tenant suite. Each AC unit has an outdoor condenser and an indoor AHU or mini split head. Often times these two units become de-coupled in age and maintenance when one is replaced and not the other, so I have trouble tracking the whole system as one asset. I also have situations where I have one condenser with 5 or more mini split heads servicing 5 or more individual tenant spaces. However, performing something like spring maintenance on them requires simultaneous work to both indoor and outdoor unit typically under one work order. Right now I have it all separate, no sub-assets at all. I’m considering changing that to: Tenant Suite # > Outdoor Condenser # > Indoor AHU or Mini split head # Just curious how others are handling this..

Production line dependance on multiple assets

Has anyone tried to build a report to show downtime for a production line with multiple assets? If I have a line with 10 assets but only 5 of them cause that line to stop producing is there a way to reflect that? I thought of creating an asset for the line and list the 10 assets as sub assets of it. Then potentially set those that are critical to function of the line as critical and only track downtime on those. Would that then track the line downtime? I’m hoping someone has already solved this and can help me. Cheers everyone, John

One procedure for multiple assets

Is there a way to create a procedure to be used for multiple assets? We have several similar assets that require the same PM tasks and I haven’t seen a way to create a procedure and assign it to different assets on recurring work orders. Has anyone else figured this out? Thank you

Crediting multiple team members

Does anyone have any good ideas for giving credit for completed work orders to multiple team members. I’ve thought about creating a procedure template that can be added to work orders where multiple team members name appear on a drop down and can be selected if they worked on the work order but i don’t think that will give the other members “credit” for completed work orders in Reports.

Pre-operation inspection, automatic launch

Hi, Before using certain pieces of equipment our operators are required to complete an inspection of the equipment and log it. Is there a way I could create the inspection as a procedure in MaintainX that can be activated by the operator as they need it? If I can do this in MaintainX it would make the standard operating procedure easy to access and create a record to show the procedure is being complete. Parts with Batch numbers and expiry dates

Hi there, we have parts which come in with batch numbers and expiry dates, i want to be able to hold these in stock and complete stock checks on them and allocate them out for traceability. Can this be done?

Meter readings from work order

I have created an hour meter and a monthly task to record the readings. Is there a way to have the reading recorded into the meter from the WO? I see how to create a WO from the Meter to record the data but I would like to have the monthly work order created automatically when due and the reading populate the meter like the one created from the meter.

Vendor Certification and License Tracking

I want to add a custom field to the vendors tab to note the certifications the vendor has and when they expire. e.g. Safety at height, confined space, permit to work etc. Has anyone done this before. Ideally I’d add a dropdown that allows multiple selections. This is so we can tell at a glance if the vendor is currently certified or if we need to confirm their certification before booking them to complete work. Thanks, Ben

Survival Maintenance: essential tactics when resources are low (and high)

Hi everyone, I would like to share with you 2 recommendations I will suggest you to follow in case you are going through some resource scarcity: 1. Make sure you are working according to priorities in MaintainX. Working by offline or online status, or oldest request is not enough. You need a proper system to prioritize your work orders and it needs to be recognized and followed by your team. Time Management 101 tell us we won't ever have the time to finish everything we want, but at least we can focus our available time over the most important stuff. 2. VMI. If you can't spare a person to handle your inventory or there isn't enough people looking after your parts, talk to your vendors and ask if they could provide you with VMI. Vendor managed inventory (VMI) management is an inventory control technique in which a vendor assumes some of the responsibility for supplying and replenishing inventory items on behalf of an organization. I would recommend it for low-value or high-volume consum

I often have situations where there are multiple work orders in for the same asset in my facility. Is there a way to merge the work orders into one so that when that asset is getting worked on all the work orders are covered?

Print QR Codes on Dymo Label Printer

Has anyone come up with a good method to print QR codes from the MaintainX part library on Dymo label printers? I thought about just buying a few thousand consecutive QR codes and scanning them as I create parts in inventory but that wouldn’t allow me to have one label for every identical part in inventory. I want to be able to print them easily as I create new parts in my inventory or replenish parts. I am using a Mac which probably makes this more difficult. Any help would be appreciated.

Workorder View

There used to be a feature where you could select when to see the work order by how many days until due. The default was 365 days, but instead of clogging the view for recurring work orders, you could select to see the work order 30 days out or even 7 days from due date. Did this feature get removed or moved? Thanks, Ronnie

Real time work order updates from MaintainX to Power BI

Hi All! I’m looking for some input on integrating MX to Power BI that would update in real time. I’m looking to send over new work orders and have those update when the job status is updated. I’m currently running a Zap through Zapier from MX to Outlook Calendar which is shared to other employees, mainly requestors that don't have full user access. I required job title, start and end date, status, category and location. The problem I’m having is if one of those fields are left empty for one reason or another, the zap won’t complete, and it cost me a task. I'm looking to at least test out Power Bi in hopes of a better experience. Any advice would be much appreciated! Also go easy on me lol, I’m an HVAC tech who got in over his head trying to implement this system over the past few months.

Communication Translation Station.

I've put QR codes all over the plant. It brings up a request portal . I've mentioned it to operators. They don't understand English too well and I don't understand Spanish. This is more than just a maintenance request portal. It's a comment box . I don't have much participation yet but I will let you know how it turns out. I want the operators to have a voice.
